  • reporting to the Events Manager you will support the planning, administration and delivery of an exciting portfolio of events
  • highly organised with fantastic attention to detail you'll manage the event mailbox, diaries, and production of event collateral

Responsibility


  • manage the relationship with venue and any event supplier to ensure all the event requirements and logistics are in place
  • create running order for speakers, chairperson, and staff to ensure they are briefed on timings and structure of event
  • attend events and manage the staff team on the day as required
  • maintain the core events calendar for the coming year, ensuring venue bookings are in place and confirmed where appropriate
  • ensure online registration is set up correctly to maintain a user-friendly system for delegates
  • create feedback form to obtain useful feedback to assist in improving standard of events produced
  • running speaker rehearsals whether online or in person to ensure speakers are fully briefed and comfortable with all equipment at the venue/on the platform
  • finalise the budget and ensure any revenue and costs are recorded
  • communicate with authors, speakers regarding presentations and audio-visual requirements where necessary to ensure the smooth running of events
  • respond to enquiries from agents and clients within time limit and in a professional manner
  • receive feedback from the client during and after the event and resolve any client disputes and complaints in a professional manner and within the guidelines issued
  • you will be supporting the BD team with
  • preparing sales documents for internal and external meetings - taking minutes when necessary
  • provide high-level administrative support to the executive team, managing calendars, travel arrangements, and correspondence
  • coordinate and execute company events, including conferences, meetings, and social gatherings
  • liaise with vendors, venues, and stakeholders to ensure smooth event logistics
  • prepare and distribute materials for meetings and events
  • conduct research and assist in the planning and execution of various projects
  • this role will support the Events Manager with the delivery of London-based internationally focused firm wide events
  • this is a 12-month contract opportunity to work within the events team of a prestigious law firm
