Requirements


  • endorse documents as indexed, either manually or electronically
  • forward all indexed documents to the OM for approval
  • forward all resulted actions to the OM for filing
  • carry out the responsibilities of Action Raiser and Registrar, except where the roles arebeing undertaken separately
  • attend all briefings with the SIO
  • index all documentation indicated by the Receiver or Document Reader, see examples ofmanual and graphical mark-up ;Carefully check that all instructions contained within the document have been carried out
  • type the result of received actions onto the system , indexing asinstructed by the Receiver, raise any further actions if so instructed and endorse the actionas resulted, unless reallocation is required
  • previous experience as a Holmes Indexer would be ideal
  • excellent Communication Skills, as you will be other members of staff
  • full Police Vetting will be required, before being able to start the position
  • you will need to hold a full driving licence and be comfortable driving a work van
  • this is a part-time role 22.5 hours a week over 3 days, between Monday to Friday

Responsibility


  • register all documentation from the Receiver
  • raise any action as instructed, after checking that the enquiry is not already the subject ofa previous action
  • index the content of the documents following the guide indicated by the Receiver orDocument Reader
  • prepare information items for indexing onto HOLMES database to ensure that they are formatted in the most suitable layout
  • create and maintain designated linking exhibits to other records and adding documentary cross references
  • to devise and construct an indexing system within HOLMES for the categorisation of information items gathered to organise them effectively and structure the HOLMES database appropriately
  • accurately register and index all documentation as indicated by the Receiver or Document Reader onto the HOLMES database to ensure that their location complies with the indexing system, and the HOLMES Manual of Guidance
  • raise actions as directed, either where indicated in any document or by a specific instruction from a named person, after researching the database to check that the enquiry is not already the subject of a previous action, if so verify that it fulfils the enquiry NOW required
  • ensure the resume and full instructions of the raised action are in clear and precise terms to enable an enquiry officer to carry out the action specified
  • type the result of completed actions onto the HOLMES database indexing as instructed by the receiver, raising any further actions if so instructed and endorse the action as resulted, unless reallocation is required
  • understand the method and state of an investigation, to create and revise links between details stored in the HOLMES database and identify connections, correlations and discrepancies or anomalies
