- main Responsibilities
- we are seeking professional and customer focused Receptionist/Telephonist to join our Reception Team for two days a week. We are looking for an individual who can work independently as well as part of a team
- the role will involve being the first point of contact for visitors to the School either by phone, email or in person
- the main responsibilities and key tasks
- this is a busy role and the Receptionist has support from other members of staff, including a Gap Student, primarily based in the Reception area, and a trained Medical Assistant when needed
- logging boys who are off-games, as required
- to meet all visitors to the School during term time, particularly pupils' parents and prospective pupils' parents
- reception experience would be advantageous, and a personable manner is essential. The ideal candidate will be friendly, approachable with excellent customer service and communication skills
- receive deliveries and post. Sort post ready for distribution to staff
- to ensure visitors are correctly badged and briefed on safeguarding and safety requirements for visiting the School
- manage Lost Property
- to inform members of staff when visitors have arrived
- line Manager: Master’s PA for Receptionist work
- to ensure that visitors are looked after until collected by a member of the School’s staff
- administration and data input on our Management Information System as directed by members of the Senior Management Team
- ensure daily pupil attendance registers are completed correctly, with notes and keeping track of absences and boys arriving or leaving between registers, reporting to the Deputy Master where there are concerns
- to receive post and deliveries
- assistance to the Registrar with administration, as needed
- admissions
- to manage the Reception Diary
- assist with Open Day and Assessment Morning preparations
- to liaise with Job Share partner
- attend all Open Mornings and Assessment Mornings
- the role is two days a week, Monday and Tuesday, between 8:00 to 17:00, with a one-hour unpaid lunchbreak. This is a term-time only
- provide general administrative support to Registrar and Master’s PA as required
- to work with the School's Security Team, with whom the main Reception is shared
