- " Taking minutes in meetings
- " Meeting arrangements and event management
- coordinate emails and giving standard replies as appropriate and forwarding to relevant members of staff
- " Managing internal and external correspondence on behalf of senior management
- " Monitor and co-ordinate the complaints process
- " Booking travel and accommodation
- manage Deputy Directors inbox's, ensuring urgent/important correspondence is prioritized and brought to the attention of the Deputy Directors
- " Financial management; expenses, invoices
- " Preparing monthly calendars for wider teams
- " Providing administrative support and technical expertise to senior leaders
- " Organising events such as away days
- provide administrative support to directorate events and ad-hoc projects

- the role will sit in the Strategy and Governance Team who directly support the Permanent Secretary and Executive Team in the effective running of the department
- the role will be working 2 days in the office and 3 days from home
- " Provision of administrative duties
- " Ensure that when Deputy Directors are absent, all briefings, submissions and draft replies are produced for or on their behalf to a high standard, and are approved and submitted to the appropriate organisation/department in a timely manner
- you will be expected to play a role in modelling these behaviours and to contribute to the hardworking and friendly team environment
- the team support one another through periods of busy work, which the post holder should expect working within a busy, dynamic team, you will provide strategic support to the Deputy Director
- you will be able to further develop a good understanding of a range of issues and topics, covering a range of professions and functions
- prepare diary logistics, including paperwork and briefing material, ensuring that the Deputy Directors are always in the correct location, with correct paperwork and aware of upcoming appointments
- prepare and collate meeting documentation, including liaising with key stakeholders to gather content, ensuring a digital version is available head of the meetings. Where required provide secretariat support at directorate level meetings
- " Produces minutes/a record of meetings as requested by the Deputy Directors, communicating outcomes and ensures that follow up action is taken
- you will quickly establish good relationships with Private Office counterparts across the business and will be confident in working directly with a range of senior leaders across Government and taking action to resolve issues on behalf of the Director
