Responsibility
- assist with the preparation of consolidated financial statements for the holding company and its subsidiary companies
- provide general administrative support to the CEO and executive team, including scheduling meetings, managing emails and correspondence, and coordinating travel arrangements
- maintain and update financial records using Xero, including accounts payable and receivable, bank and credit card transactions, and payroll

- reconcile bank and credit card accounts on a monthly basis
- maintain accurate and up-to-date financial records for multiple subsidiary companies using Xero
- maintain and update executive calendars, schedules, and contact lists
- process invoices, receipts, and payments in a timely manner for all subsidiary companies, including paying suppliers
- prepare and issue invoices to clients
- perform research and gather information for special projects as needed
- prepare and file sales tax returns
- manage payrolls for all subsidiary companies
- handle confidential and sensitive information with discretion
- communicate with external advisors, such as accountants and tax consultants
- assist with the preparation of financial reports for management and external stakeholders
- coordinate and liaise with subsidiary company managers and executives to gather information and reports for the holding company
- manage and track intercompany transactions and reconcile intercompany accounts
- manage sales teams' commission and ensure accurate tracking and payment
- reconcile bank and credit card statements for all subsidiary companies
- assist with the implementation and maintenance of financial policies and procedures for the holding company and its subsidiary companies
- prepare and file VAT returns for all subsidiary companies
- assist with the preparation of financial statements, including profit and loss statements and balance sheets, for all subsidiary companies
- manage weekly reports, including daily takings and petty cash receipts
- perform general office duties as needed, such as answering phone calls and responding to emails
Requirements
- A minimum of 3 years of experience as an executive assistant or in a similar role
- advanced skills in accounting and bookkeeping, specifically using Xero
- strong attention to detail and accuracy
