- delivery Notes/Statements
- monitor existing mortgage agreements to ensure all documentation is compliant with business requirements and external regulations
- looking after the sales counter and serving customers in a professional and courteous manner
- assist in the preparation of presentations to professional advisors, lawyers and other industry professionals as required
- complete administration duties as required including reviewing reports and identifying potential issues
- keep all fleet software up to date to deliver 100% asset specification and location
- file physical copies of delivery notes/statements into relevant files
- providing administration support to customer accounts
- ensuring audit recording systems are kept up to date and remain accurate
- identify opportunities to enhance and improve administration processes
- assist in the preparation of information for clients as well as third party provider meetings as and when required
- to support the company fulfils its legal, regulatory and national minimum standards concerning O licence compliance
- preparing reports and presentations
- set up new project folders in live project folder shared work drive
- record process updates on IT systems and produce documentation to notify appropriate parties of any amendments
- updating the system and completing spreadsheets as required
- maintain learning and development system and monitor progress against CPD targets
- to ensure that agreed statistics are produced on a period basis to support the stats packs
- supporting accounts manager in a variety of tasks
- assist with ad hoc tasks by providing general administrative assistance to the business
- handling customer service queries
- ensure all outstanding audit actions are recorded appropriately within the system diary and followed up accordingly
- liaising with suppliers and sites regularly
- maintain good relationships observing professional and ethical standards with existing clients, professional advisors and other market professionals
- supporting with all other ad-hoc administration duties as required
- tracking and booking training courses for the team
- setting up new accounts
- raising & processing invoices
- ensure compliance with the firm’s governance policies and adherence to any regulatory rules to which the firm is required to comply
- liaise with other departments when necessary
- continued compliance with road transport legislation and industry/group standards
- transfer of new accounts
- some weekend working may be required
- check client websites to confirm they are compliant
- distributing and controlling information throughout the office and job sites which may include printing or handling highly confidential/sensitive information
- performance against KPIs for fleet management
- managing a busy Inbox and diary management to include arranging appointments, accommodation and travel on behalf of two directors
- processing Invoices
- provide Management Information in a format acceptable by the Board
- ensure that any enquiries that are not within your skill set or experience are quickly referred and followed up
- log sales & subcontractor invoices on Sage 50
- assist other team members with any duties to ensure smooth running of the office
- minute taking at meetings with clients and internal staff
- external liaison with Solicitors and mortgage clients through various forms of communication to ensure they remain informed of any modifications to existing agreements
- sitting on, contributing and adhering to the terms of reference for the management committees on an invite basis
- general office admin as required
- office admin tasks including posting letters, sending packages at post office, going out to purchase stamps/tea/coffee for office
- treat the customer fairly, ensuring professional standards, ethical standards and client confidentiality, in accordance with current data protection rules, are observed at all times
- handle enquiries from clients effectively
- keep log of petty cash
- promote the services of business
- frequent stationary checks
- other duties and responsibilities as may be required
- ensure that meeting room is orderly/set up for meetings at all times
- provide information to the firms Compliance, internal audit and external audit representatives as requested. All information provided must be accurate, complete and provided in a timely manner
