• maintaining a friendly and pleasant atmosphere in the reception area where learners and staff members feel comfortable and welcome
• ensuring the reception area is kept clean, neat and presentable at all times

• answering the telephone in a timely manner and communicating all messages to the relevant recipients
• create a safe and secure environment
• greeting all visitors to the school with a friendly manner
• treat all young learners and vulnerable adults equally, with respect and dignity
• ensuring all visitors sign-in at reception by checking IDs and providing appropriate visitor badges
• offering general help to learners when they visit or call reception
• dealing with walk-in enquiries and contacting the appropriate member of staff to assist
• dealing and organising all incoming post for students and members of staff
• managing supplies for stationary, photocopier toners, printer cartridges, board markers and rubbers, etc. and informing Operations Manager when stocks are low
• managing coursebooks and other students’ materials and informing Managing Director when stocks are low
• arranging taxi transfers and short trips for students
• recording accidents within the school premises on the accident log and reporting to the Operations Manager via email or paper form

• supporting with the preparation of materials and documents for students and staff members
• offering general administration of the school
• sending information pack to new arrivals
• maintaining daily income register and cash flow
• contacting absent students and communication to Director of Studies
• registering students for external exams
• producing invoices for all financial transactions at reception
• notifying line managers in a timely manner of any staff absence
• working closely with Sales and Marketing Coordinator and Accommodation Officer advising the number of students needing accommodation as well as arrival and departure details
