Responsibility

• supporting the Management Team as required with projects, systems, and procedures

• provide administrative support for compliance registers, supporting the Management Team, ensuring DBS checks are conducted
• support administrative staff development providing guidance and direction, ensuring staff are up to date with mandatory training
• coordinating internal and external meeting arrangements, preparing agendas and producing minutes for meetings
• supporting the Management Team in the marketing of the practice
• drafting of the practice newsletter on a quarterly basis
• supporting the Management Team in the maintenance of the practice and NHS Choices websites and social media accounts
• effective monitoring of the Friends and Families Test
• processing incoming and outgoing mail
• photocopy documents as required
• carry out system searches as requested
• answer incoming phone calls, transferring calls or dealing with the callers request appropriately
• file and store records as required

Requirements

• experience or working within a public reception environment, ideally gained from within a healthcare setting/GP medical practice

Responsibility

• a. Supporting the Practice Manager in the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities
• b. Providing leadership and guidance to all staff ensuring that they adhere to policy and procedure at all times
• c. Overseeing the administrative elements of QOF, liaising with GPs, nursing staff and administrators

• d. Implementing systems to ensure compliance with CQC regulations and standards
• e. Reviewing and regularly updating job descriptions and person specifications ensuring all staff are legally and gainfully employed
• the following are the core responsibilities of the Assistant Practice Manager. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels
• f. Assisting with recruitment including pre-employment checks and DBS
• g. Evaluating, organising and overseeing the staff induction programme
• h. Maintaining and embedding an effective staff appraisal process

Requirements

Responsibility

• to be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team
• to be responsible for the read coding of relevant information into patients electronic healthcare records on EMIS clinical system, adhering to the correspondence management policy
• duties can include, but are not limited to, the processing of information in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service
