Responsibility

- reviewing the accounts at month end to ensure correct financial policies have been undertaken. Taking accruals & prepayments as applicable
- producing monthly financial reports for submission to management team
- back up Account receivable manager including manage BQMS which is client AP system
- as the Finance Manager and working closely with The Director of Finance you will be responsible for the accounting and reporting aspects of the agency, reviewing and approving the work performed by the accounts payable team
- this is an exciting opportunity that reports to the Finance Director and carries line management responsibility of one direct report Account Payable Executive and one indirect report
- credit control for all client accounts - approx. 10-20 invoices per month
- manage Early Warning items for Project and aged open item
- management of at least 2-3 clients with support from a bookkeeper
- along with being responsible for the revenue recognition and working with the Account teams to enable them to manage their jobs effectively and efficiently with particular focus on managing working capital
- providing weekly cash forecasts to FD for review
- using paprika system and xero
- responsibility for revenue recognition, ensuring compliance with company accounting policies
- creating and submitting statutory accounts and Consolidation package
- staff expenses - approx. 30 claims per month
- support processing supplier invoices where needed and managing the process to ensure accurate and timely input
- raising invoices on a timely basis
- ideally you will be part qualified with experience of working across a finance function within a small/mid-size communications / creative company with previous exposure to US finance and payroll functionality
- reconciling client accounts
- reviewing and allocating project expenses to client accounts

- preparing balance sheet schedules for all accounts and resolving any issues on a timely basis
- communicate with tax consultant to finalize PIT, CIT and VAT report
- preparing payable reports and raising payments
- monthly WIP meetings with Consulting Directors
- approve and check Account payable/employee’s expense claim process
- ownership of the US Finance function, covering accounts payable, payroll journals, the month end process and management accounting, with an overview of the Billing function
- ownership of debtors, creditors and project workflow
- bank reconciliation
- ensuring compliance of company payment terms policy
- ownership of the workflow meetings with the production team
- fee reconciliation
- P&L analysis and Ad hoc report for HQ/RHQ
- monthly Payroll
- reviewing the full US accounts with the FD and FP&A manager and support production of the management accounts and monthly commentary provided into the management team
- ensuring all deadlines are met, that financial information is complete and up to date and reports are accurate and in accordance with company accounting policies and statutory obligations
- preparing bank reconciliations
- updating actual hours of client work from the team and producing overservicing report
- VAT returns / EC Sales
- daily Bank reconciliation and cash flow reports are routinely updated
- managing the annual statutory audit
- profitability analysis
- other general book-keeping task
- complete understanding of the full accounts receivable process and ability to support/cover the US billing manager where needed
- reconciling intercompany accounts and ensuring intercompany transactions are correctly recorded
- cash book reconciliation
- preparing various quarterly and annual returns to HMRC/ONS
- manage the US Amex cards and ensure they are complete on a timely and accurate basis
- liaising with external accountants on year end & taxation
- ensure that data in Maconomy is kept up to date and accurate e.g. old projects and POs are closed
Requirements
- experience within a previous fast paced start-up / scale-up business is also an essential requirement
- familiarity with platforms such as Bamboo, Synergist and Xero would also be helpful
- proven experience in a similar role within a previous marketing / creative / advertising agency

- in-depth understanding of accounting
