- full typing service
- organising and prioritising workloads on an ongoing basis, in conjunction with fee earners
- diary management – appointment and meeting room bookings, team meetings, key dates/deadlines etc
- opening files, raising bills etc
- maintaining the fee earner diary / being aware of fee earner day-to-day commitments
- file administration – file opening including all aspects of anti-money laundering compliance, file maintenance, file closures, archiving and Will storage etc
- answering telephone calls, letters, faxes and e-mails
- preparing inward and outward correspondence
- typing up dictation as well as editing, proofing and formatting documents
- drafting and formatting legal documents, correspondence, and reports
- to act as a witness for Will signings & deal with Will and LPA collections
- alerting, and agreeing with fee earner's, any changes in circumstance and priority with regard to workload
- managing all new client documentation and the administration of opening and closing files
- diary management and maintaining the lawyer’s calendar
- our client who are an expert Criminal Defence Law Firm are keen to hire a Legal Secretary to support a Partner and other members of the team from their offices in Battersea
- organising diaries and making appointments

- maintaining an effective and ordered filing system for allocated cases

- you will be working alongside and to a Commercial Litigation Partner whose experience covers a full range of Dispute Resolution work which includes commercial disputes, real estate property disputes, intellectual property disputes, insurance disputes, fraud and employment litigation
- the purpose of this role is to provide secretarial support the fee earners in the Housing department in the provision of a wide range of legal services
- preparing documents
- liaising with clients and taking instructions under the supervision of and as directed by fee earners
- managing archiving and storage collection
- managing and organising legal files, ensuring they are up-to-date and easily accessible
- dealing with enquiries from clients
- preparing, submitting and downloading property searches
- preparing of client invoicing and managing banking slips
- liaising with clients, court personnel, and other legal professionals as necessary
- first point of contact for new client enquiries- presenting the firm in best light, obtaining relevant information, assessing the matter, and referring work to the Head of Department for allocation
- assist with research as instructed by Fee Earners
- preparing, amending and finalising legal documents and reports as directed by fee earners
- assisting clients with updates when Partner is not available
- business development administration – logging and analysing enquiries, conversion rates and sources of work etc
- handling telephone calls and inquiries, relaying messages accurately
- assist Fee Earners with caseload and undertake some junior level fee earning work under supervision
- preparing and collating Engrossments marking them up for execution and all preparations for completion
- processing incoming and outgoing email, mail etc
- direct communication with clients
- ensure compliance with professional standards and the firm’s policies in general
- filing and other general clerical work
- preparing and submitting Stamp Duty Land Tax forms using the SDLT website
- interface with Land Registry
Requirements
- you will need over 3 years hosuing or conveyancing experience
- private Client experience as a Legal Secretary
- legal Secretary or Conveyancing Assistant experience

- legal secretarial and/or Legal PA experience - preferably within commercial property but not essential as other areas such as residential conveyancing etc are certainly being considering
