- direct line management of Facilities, Maintenance, Accounts and Administration
- communication with Leaseholders and Tenants
- ensure all staff are compliant, implementing and undertaking the agreed procedures and systems
- provide support to the Facilities & Maintenance Supervisor, Accounts & Administration
- provide weekly overview for Board members plus a detailed report for each Board meeting using the attached reporting form
- ensure that systems are developed and maintained by staff to enable any security incidents are reported to the police and HPRTM Board as may be required
- be the final resolution phase, following management staff involvement, for all complaints escalation – only contacting the Board for any issues outside personal expertise or for information purposes
- the Estate Manager will submit a monthly written report to the Board
- clerk, Concierge, Cleaning, and Grounds staff members when and where required
- the post holder will also carry out any duties reasonable to the post as requested by the
- oversee the development of direct line managed staff and agree this with HR committee members
- ensure staff are supported in developing their communication and customer relation skills, ensuring that queries or complaints are dealt with in a timely manner
- oversee/support the work of the Accounts & Administration Clerk in monthly electricity readings of all meters and the issuing to individual monthly account of leaseholders and liaise with third parties such as agents and tenants, as necessary
- prepare the service charge budgets in liaison with the directors and in accordance with the terms of the relevant lease
- with the support and assistance of site-based maintenance team, oversee the negotiations with contractors for planned maintenance services in line with the strategic plan
- ensure that systems are developed and maintained for staff to enable accurate on- site records of building services are kept
Requirements
- IRPM/ARMA qualification
- previous experience of managing properties
- knowledge of health and safety in the workplace, compliance and risk management
