Responsibility

- handle payment requests from suppliers so that invoices are processed in time
- being a first point of contact for colleagues, parents and carers queries, both in person and via telephone or email
- responding to customer emails
- maintaining good project documentation to ensure compliance with highest quality standards
- proofreading and correcting data in spreadsheets
- monitor the general email inbox
- prepare, track, and reconcile ledgers and budgets
- accurately maintain all confidential personnel files in accordance with GDPR and Information Security policies

- update transactions onto accounting system to reflect financial activity
- monitoring of Finance and Finance support mailboxes and delegation of tickets
- ensure that data is collated accurately, stored, communicated and analysed in compliance with all policies, practices and requirements
- support the onboarding and offboarding process for summer staff

- booking courses, issuing certificates and organising refresher training for staff members
- update and maintain relevant sections of the website
- identify and correct miscalculations and financial discrepancies
- attend appropriate training on HR systems and procedures
- provide ad hoc administrative support to the Finance Team as required

- processing bookings and payments
- processing transactions and maintaining accounts
- liaising with clients
- promote and encourage feedback from candidates and help drive continuous improvement
- assist with recruitment and appointment processes for incoming academics

- efficiently organise the arrangements for meetings, training and events
- processing bus passes and arranging bike loans
- maintaining and updating processes and documentation – continuously looking for ways to make improvements
- home visits and welfare checks
- managing the sales and purchase ledgers
- general administrative responsibilities as required
- conducting background and DBS checks
- administering contractual changes such as promotions, family leave, transfers, and salary increases
Requirements
- experience as an Administrator, ideally within an HR setting
- MS Excel literate
- experience in an administrative role
