Responsibility
support CEO and senior team with electronic and hardcopy data storage
support CEO with report writing and email management
helping organise, arrange appointments and events including appointments, office maintenance, building works, travel, events, insurances, utility bills and more
administrative work including filing, post, keeping records, organising meetings, and helping keep the team organised
managing office contracts and suppliers, being the first point of call for any operational issues, eg phone systems, wifi, IT etc
liaison with building management and security teams in relation to office matters. Managing utilities account for the office
any other general office administration duties as required
ensuring the office are running smoothly at all times, oversee and maintain office efficiency such as, office appearance, office equipment, ensuring common areas are functional and coordinating all facilities requirements, including responsibility for health and safety measures
Requirements
at least three years relevant experience across multiple administrative roles
calm, professional and confident manner, Excellent organizational and time-management skills
strong team player with excellent interpersonal skills and the ability to build effective relationships at all levels
adept at managing a varied workload with the ability to multi-task and re-prioritise in a fast-paced and demanding environment
ability to use initiative, forward think and work under pressure, with a willingness to proactively take on new tasks
