Responsibility

  • managing a booking system for hospital meeting rooms and ensuring effective hand over of this with the other Personal Assistants
  • processing invoices and liaising with Finance to ensure items coded to correct accounts Covering reception duties in rotation with the other Personal Assistants
  • providing administrative support and assisting with projects that the Medical Director is involved with Ensure that the medical hub officers is tidy and portrays a professional appearance at all time
  • provide executive PA support to the Medical Director/Responsible Officer including but not limited to: Screening telephone calls, enquiries and requests and directing them as appropriate to make best use of the Medical Directors time Ensuring that messages are conveyed appropriately and telephone call requests are carried out to a high standard Accepting and managing emails and post on behalf of the Medical Director Ensuring relevant documents are emailed to the Medical Director prior to meetings Ensuring effective diary management is carried out in accordance with the Medical Directors preferred style Planning and arranging bookings relating to appointments, meetings, seminars, programmes and conferences Producing letters, documents, briefing papers, reports and presentations as requested Undertaking and compiling research as requested Making travel and accommodation arrangements and bookings Meeting and greeting visitors at all levels of seniority
  • support the governance functions and committees that fall within the remit of the Medical Director/Responsible Officer, including but not limited to: Arranging committee meetings, inviting attendees and booking appropriate rooms Attending meetings as note taker, producing minutes, marking out follow up actions, and distributing minutes Ensuring documents are appropriately filed Providing specific support for the medical director in their role as Responsible Officer: Maintaining a database of connected doctors including files of medical appraisals Providing proactive support to connected doctors to ensure that medical appraisals are undertaken in a timely fashion Maintaining a data base of concerns about medical practitioner performance Provide administrative support for the RHN medical team, including but not limited to: For all medical staff Working collaboratively with HR colleagues on recruitment, onboarding and induction of new doctors and the checks and processes when doctors leave the organisation Working collaboratively with HR colleagues to ensure all mandatory checks are undertaken for all doctors working within the organisation Supporting doctors on the processing of expenses Supporting employed doctors on the reporting of sick leave Supporting employed doctors on applications for annual leave or study leave and maintain the leave data base for employed doctors Employed consultants Providing general administrative support and advise as required Maintaining an on-call rota of employed consultants Clinical Fellows Maintaining a daytime and night-time rota of clinical fellows Liaising with recruitment agencies to ensure provision of clinical fellow cover for gaps in rotas Filing time sheets and raising purchase orders to enable prompt payments to locum clinical fellows or employed clinical fellows undertaking extra shifts Visiting consultants Receiving and processing and promptly sending on patient referrals for visiting consultants Liaising with wards to arrange clinic bookings and timetables for visiting consultants Ensuring booking of appropriate clinic rooms for visiting consultants
