client administrator

Working hours

  • part-time

Responsibility

  • typing correspondence and legal documents
  • answering calls, taking messages and helping clients visiting the office
  • maintaining diaries and arranging appointments
  • file management, both hard copy and soft copy using client management software
  • opening and closing files and sending documents to central depository for storage
  • meeting all due diligence and compliance requirements including those relating to ID, letters of engagement, conflict check and AML regulations
  • quickly respond to existing clients and new business enquiries
  • administration including but not limited to nonstandard letters, producing letters, forms and documents which utilise Case Management and IT systems

Requirements

  • demonstrated experience of working as an administrator, preferably within a legal environment
  • communication skills that demonstrate professional and polished conduct with clients, partners and employees
  • comfortable with use of email communication
  • working knowledge and confidence in using office equipment such as photocopiers, scanners, etc
  • ability to work with, and willingness to take direction from various levels of legal staff from partner to trainee
  • pleasant telephone manner and ability to field telephone call and assist clients with their queries
  • motivated, well-organised, flexible and with a can-do attitude
  • proactive and works under pressure
