Responsibility
offer refreshments to guests and clients
ordering of daily breakfast items
answer phones in a timely and professional manner, routing calls as necessary
receive, sort, and deliver all incoming mail. Prepare outgoing mail and coordinate deliveries with various courier services
address requests related to heat, cold, lighting, spills and other day-to-day matters
manage office supplies, take inventory and re-stock as needed
ensure cleanliness and organization of all kitchens and proper storage of all beverages, snacks and other kitchen items
coordinate and manage conference room requests via room schedules in Outlook. Prepare and tidy up conference rooms, work with the meeting organizer for all catering requests, manage catering vendors and ensure a timely delivery of all requests
Requirements
demonstrated professionalism and polished, confident demeanor
strong communication and interpersonal skills
comfortable interacting with senior executives internal and external to the firm
A strong team player who is able to work well in a collaborative environment and independently
proactive with the ability to problem solve and anticipate needs
exceptional meeting room calendar management with the ability to detect conflicts and errors
