• monitor absence and send details to HR Business Partner
• provide a comprehensive business administrative support to meet the needs of the Managing Director, Senior HR Business Partner and the overall business
• manage files and databases
• to provide confidential and efficient PA and administrative support, including diary management and general administration, electronic and paper filing, payment of bills, updating and maintaining records, managing suppliers, general post and errands
• communicate frequently with the HR Business Partner and share updates in a confidential manner
• liaise with travel companies to make travel and accommodation arrangements , keeping allocation advised of any changes in scheduling, travel guidance and ensuring they have an accurate and up to date itinerary and all the relevant travel details are in the Outlook diary
• establish and maintain office systems
• ensuring annual fire risk assessments are carried out and any actions are implemented
• arrange meetings and act as note taker when required and circulate Meeting minutes for various meetings including management and board meetings
• create, organise, and maintain an effective filing process for the Managing Director
• create, update and maintain reports, spread sheets and correspondence using a variety of computer packages
• create diagrams, process maps and charts under guidance from the Managing Director
• order office equipment, stationary and other supplies when needed
