scheduling and contracting additional third-party coaches to ensure every tour has a coach reserved for it
keeping our allocations and schedule database accurate and up to date at all times
contributing to other processes and aspects of the Transport team as directed by the Head of Logistics
supporting the logistical delivery of the coach operation by assisting with efficiently routing and planning our coach tours
scheduling our liveried fleet of contracted coaches to maximise our liveried fleet utilisation to enable us to meet our contractual obligations
being one of the points of contact for operators and drivers whilst they are on tour
managing our supplier relationships on a daily basis, keeping them informed with the work their coaches are required and contracted for
ensuring the schedule is always pre-planned with 90% of the programme being arranged at least 6 months in advance, especially focussed on traditional peak times and large events

checking hotel purchase invoices against our invoice authorisations sheets and querying discrepancies with the hotel contracting team
ensuring the invoice authorisation sheets are a fair reflection of invoices received and invoices still be received / approved
posting approved invoices onto Sage 200 Accounts system
preparing payment runs and posting payments through the bank
reconciling purchase ledger accounts to statements
assisting in the completion of the purchase ledger month-end processes
liaising with colleagues and suppliers to resolve purchase ledger queries
