Responsibility
- we are currently seeking Groups and Meetings Reservation agents who will work within one of our major hotel contracts
- handle inbound inquiries from clients, assisting them in planning group events and meetings at our client's hotels
- provide accurate and timely information regarding availability, rates, and special requests for group bookings

- collaborate with various internal departments, including sales, and operations, to ensure all aspects of group bookings are coordinated effectively
- process group reservations, ensuring accuracy in room allocations, rates, and billing details
- maintain and update reservation systems and databases with relevant information and notes
- handle inbound and outbound calls with clients and hotels
- monitor and manage room blocks, ensuring reservations are in line with contractual agreements
- assist customers with the planning and booking aspect of their stay
- upsell products in line with guests booking. Cross selling where required
- assist in creating detailed event orders and distributing them to the appropriate hotel departments
- provide exceptional customer service to clients, promptly addressing any inquiries, changes, or concerns throughout the reservation process
- assist with general department Administration Tasks
- action daily Traces between CRO and Hotels
- collaborate with the hotel sales team to identify opportunities for upselling and maximizing revenue from group bookings
- stay updated on hotel offerings, promotions, and special packages to provide accurate information to clients
- check quality of reservations and amend where necessary
- follow the customer complaints process, ensuring Team Leaders/Management team are advised
- apply special requests and liaise with the hotels/customers where required
- ensure that you have your own reviews/appraisals and complete the necessary paperwork
- provide the management team with feedback on what’s going well and not well e.g. hotel rates that are not competitive etc
- provide the highest level of customer service at all times
- support hotelshopUK by providing assistance to other departments as and when required
- know the hotels we work with and keep up to date with the processes you need to follow
Requirements
- previous experience in reservations, event planning, or a similar role within the hospitality industry is preferred but not essential
- strong attention to detail and organizational skills to effectively manage multiple reservations and deadlines
- excellent verbal and written communication skills, with the ability to interact professionally with clients and colleagues at all levels
