Responsibility
- processing all Asset Value requests and acceptances within SLA’s
- often the key Energy Assets point of contact for customers, required to represent the company professionally and knowledgably at all times
- to coordinate multiple tasks and activities to enable the timely delivery of a number of assigned projects

- proactively check and plan jobs in engineers diaries
- issuing MPRNs within the relevant timescales
- co-ordinate customer and engineer availability to ensure both customer satisfaction and effective and efficient diary management for our engineers
- ensure that customer requirements are met or exceeded
- liasing with Xoserve and other external parties to ensure any rejections are correctly administered
- accurately updating iGT data systems
- maintaining and developing excellent relationships with customers, and in turn provide a continuous quality of service
- to ensure internal approval processes are followed such as obtaining design approvals and SODA escalations
- escalating any specific non-compliances to the appropriate manager
- ordering of materials required to complete project delivery
- managing general email and telephone enquiries in the correct manner
- clearly communicate with customers to ensure resolution of problems or diary conflicts
- ensuring project budget are adhered to and processing cost variations where required
- driving process and system improvements where possible
- effectively liaise with Technical Services as and when appropriate in order to resolve issues
- supporting the Design Team in other duties where required
- provide an effective and professional interface for Energy Assets Clients and Partners as part of the Siteworks team in the delivery of Energy Assets services
- ensure that incoming/outgoing emails are dealt with in a timely and accurate manner, as well as recording and reading notes thoroughly to ensure first-class customer service and an efficient workflow across teams
- ability to problem solve and deal with unexpected changes to plans, rescheduling or making changes to ensure maximum efficiency of daily diaries
- provide a timely and accurate response to enquiries from customers, gas suppliers, developers and other end users and to ensure any SLA’s and KPIs are met
- assisting with system development and testing when required
- to ensure that information is accurately recorded and that industry processes are followed, particularly relating to GT1, GT2, GL/5, GSC and ONJOB processes
- manage unexpected issues in the best interests of the company, on occasion being able to make tough calls and manage dissatisfied customers in an honest and confident manner
- build relationships with your team of engineers to ensure that jobs are planned and completed as smoothly as possible, where engineer time is maximised, and they have the information and equipment required to complete jobs
- the Design Administrator will also support the wider iGT business where required, ensuring data systems are updated and validated
Requirements
- you will need good communication skills in order to develop and build relationships with internal and external stakeholders
- to be considered for these positions you will have at least 1 - 2 years previous administration experience ideally with a multi utility business. You will be an excellent communicator and have the ability to work on your own initiative
- since full training will be provided, no experience is necessary although experience in the utility industry or a similar role would be preferable
