Responsibility

  • perform various administrative tasks, including data entry, filing, and document management
  • take full control of engineers' and contractors' diaries, scheduling appointments and ensuring efficient time management
  • act as a direct point of contact for clients, handling their queries, providing information, and addressing any concerns or issues
  • schedule appointments for quotations and liaise with clients to ensure smooth coordination
  • follow up on overdue invoices, accounts, and quotes, ensuring timely payments and resolution
  • maintain accurate and up-to-date records of client interactions, invoices, and other relevant documentation
  • utilize IT skills to efficiently handle emails, create reports, manage spreadsheets, and assist in various digital tasks as required
  • develop and nurture positive relationships with clients, demonstrating professionalism, politeness, and a friendly attitude

Requirements

  • proficient IT skills, including experience with standard office software
  • excellent verbal and written communication skills, with the ability to speak confidently on the phone and build rapport with clients
  • strong interpersonal skills, demonstrating politeness, friendliness, and the ability to establish and maintain positive relationships
  • exceptional organisational abilities and attention to detail, ensuring accurate record-keeping and effective time management
  • proactive mindset with the ability to multitask, prioritise responsibilities, and meet deadlines
  • previous experience in an administrative or personal assistant role is desirable
  • A professional and discreet approach to handling confidential information
  • high level of reliability, demonstrating punctuality and a strong work ethic
