Responsibility
- provide day-to-day support including administration tasks for colleagues working on site
- to produce support the allocations advisor
- answer incoming calls from Clients and deal with queries

- create timetables to manage survey appointments and planning of the Surveyor Teams workload
- arranging travel including Accommodation, flights, car rental, etc
- coordination of third-party maintenance planners and any changes to be amended within specified time scales
- assist with the daily running of the office
- managing the Directors' email inboxes as well as their own
- manage enquiries
- checking bills and validating charges
- providing EA assistance to the Project Director as and when needed
- liaise with the procurement team to set up new suppliers
- general utility support for key clients
- produce Client reports
- the PA Administrator will be a proactive problem solver and having a high level of attention to detail is imperative for both parts of this role
- working in the FM team assisting with the planning and coordination of all activity regarding admin and service contracts across the portfolio of commercial and residential property
- as the Contracts administrator, they will be reporting to the Team Leader of the department, and they will be responsible for assisting in the preparation of Contracts and supporting documents in accordance with the business's policies
- liaising with clients, suppliers, sub-contractors, and data analysts
- produce KPI reporting and chase and resolve issues impacting these
- all administration duties relating to the allocation of properties to new residents, organising paperwork, dealing with making appointments, and sending out paperwork
- assist with report writing
- manage group email account addressing CAFM changes or updates
- provide general clerical and admin support for the delivery team
- conduct regular auditing of system data
- support ad-hoc projects and produce client reports
- ensuring all supporting documents are correct and accurate prior to sending out
- scanning documents into the IT system
Requirements
- A good standard of education
- A strong administration background is essential
- experienced with CAFM systems - essential
