- effectively manage own time, workload and resources, and lunch times within the team
- contact patients added to the Dispensary\\Prescriptions query list. Add details of conversation to patient record
- add any unresolved prescription queries as a note in patients records and ensure these are followed up\\resolved
- have a basic working knowledge of all Equipment\\Keys and hardware in the surgery
- assist the Practice in meeting its Quality Outcome Framework targets
- resolving any patient’s queries where possible regarding drugs, prescriptions or dispensing service
- the basic duties and responsibilities to be undertaken by members of the Patient Services Administration team will consist of those as described below
- contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance
- assisting the Clinical Pharmacist with drug audits where required
- duties may be varied from time to time under the direction of the Patient Services Lead, the Patient Services Manager, or any member of the Executive team dependent on current and evolving Practice workload and staffing levels
- however duties and responsibilities may also include a combination of those as listed in the appendix depending on the demands of the business and ongoing staff development

- advise patients of relevant charges for private services and prescriptions, accept payment and code where relevant in patients notes as per practice protocol
- report IT faults to Healthcare Computing recording via Faults Log on S-drive copying in the Operations manager
- in conjunction with the Dispensary\\Prescriptions team ensure that requests for repeat prescriptions are generated accurately and efficiently; following practice protocol and set out for verification and signature of doctor, in accordance with Practice guidelines
- ensure reception and waiting area are kept neat and tidy. Notice-boards and leaflet dispensers are tidy and free from obstructions and clutter
- report Building Faults to Operations Manager, in her absence record on Faults Log on S-drive and report via Core system
- advise patients of relevant charges for private services and prescriptions, accept payment and code in patients notes as per practice protocol
- dispose of documents as appropriate being mindful of confidentiality at all times. Ensure all patient information not required is shredded
- process and distribute incoming mail
- participate in audit where appropriate
- receiving patients at the dispensary reception point, taking orders for and giving acute and repeat medications and collecting prescription charges as appropriate in line with current dispensary SOPs
- alert other team members to issues of quality and risk
- follow workflow protocols to ensure receipt by correct person\\filing in patient notes and that the extraction of necessary data from the correspondence is input\\coded into the Patient Record
- open up\\close Practice premises and maintain security in accordance with Practice protocols
- liaise with secondary care providers as necessary
- maintaining\\ordering appropriate stocking levels as advised by the Dispensers
- report IT faults to Healthcare Computing recording via Faults Log on S-drive
- participate in fire drills
- undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of support to clinical staff and other members of the Practice team
- attend regular meetings with the Patient Services Team Lead and Patient Services Manager and\\or Operations Manager to be informed of any updates and any surgery issues
- ensure all MJog messages are dealt with appropriately
- support and assist the Doctors during surgery times as required
- enter details of requests for home visits into SystmOne completing all relevant information
- monitor flow of patients into waiting room and treatment rooms after booking in. Informing patients of irregular waiting times when appropriate
- any other delegated duties considered appropriate to the post
- signpost, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
- ensure reception and waiting area are kept neat and tidy. Noticeboards and leaflet dispensers are tidy and free from obstructions and clutter
- attend regular meetings with the PSA Lead and Patient Services Manager and\\or whole team
- assist the Patient Service team by covering the telephones\\desk when short staffed
- receive deliveries and ensure all received stock is checked thoroughly and in accordance with the invoices produced following dispensary protocols
Requirements
- NVQ 2 or 3; Dispensing & Pharmacy Assistant Programme
- excellent Communication Skills
