Responsibility

  • assisting the Executive & Operations Assistant in the day-to-day running of the office as well as organising internal and external events
  • assisting with IT support for the business, to ensure that helpdesk calls are kept low
  • ensuring good system governance in line with policy
  • preparation of letters and other documents as requested
  • assisting with printing, scanning, photocopying and binding for all team members
  • ensuring all documentation being sent out is on brand and follows company policy
  • ownership of all inboxes i.e. Documents, Info, PM Contracts etc

  • reports and document preparation, minute taking and overseeing company filing procedures
  • the organisation of archived files and housekeeping of shared folders

  • greeting clients and visitors to the office and being the point of contact for the company
  • extensive diary management to the founders of the Hedge Fund as well as an active gatekeeper to all communication, working across multiple time zones
  • responsible for event management internally and externally for the business, from international conferences to internal team meetings
  • liaising internally and externally with clients, service providers and the team including project management for administrative and office management ad hoc projects

Requirements

  • adaptability to increase the frequency of in-person presence at the office if required
  • experience in working with highly confidential information and discretion
  • proactive, and highly organised with a methodical approach and the ability to manage a high workload
  • several years of experience working in a similar role in a fast-paced environment
  • high attention to detail and accuracy, proactivity in understanding the overall picture and in turn being able to assess priority and urgency and when to escalate to management
  • adaptability and the ability to multitask without losing sight of the priority of each task are key to success in this role with tight deadlines and changing priorities
